Property management: reported issues by property

For managers of flat owners’ associations (WEG in Germany) and of rental properties: one board per property for your team. A tenant’s email becomes a task, and recurring inspections come back by themselves.

How it works today

Issues are reported by phone and email and end up in different inboxes. Often only one person knows who chased the tradesperson and when the appointment is.

Inspections and maintenance are kept in spreadsheets or calendars, and a resolution of the owners’ meeting has been passed but not followed up.

How it works with Kanbalino

The process

A reported issue in four steps

Forward the report

The tenant’s email goes to the board’s address. It becomes a card including its attachments.

Assign an owner

Assign, set a date, add the “Damage” label. Whoever is responsible gets a notification.

Coordinate on site

Caretaker and office write on the card instead of phoning. Photos are attached alongside.

Complete

Done. The history later shows who did what and when.

Reported issues

The email becomes the task

The tenant reports a water stain by email, with two photos. You forward the email to the board’s address, and it becomes a card including the attachments. The caretaker takes a look on site and writes on the card, the office instructs the firm and records the appointment. Everything is in one place, for whoever is covering as well.

Inspections

Inspections that come back by themselves

The legionella test is a card with a checklist: laboratory instructed, notice posted, samples taken, findings. Once it is done, the next card is created, due three years after the previous date. You attach the findings to the card, so they are kept with the property. Fire extinguishers, smoke alarms and heating maintenance work the same way.

Dates

A property’s week at a glance

The calendar shows what is on at the property this week: tradespeople’s appointments, inspections, routine rounds. You move a card to another day by dragging it. With “Mine only”, each person sees only their own dates.

Features

The features behind it

A tenant’s forwarded email becomes a card complete with photos, and recurring inspections create themselves again.

Honest questions

What property managers want to know before switching

Yes, with Premium and the Tickets / requests add-on. A board’s address then also accepts emails from tenants: each one becomes a report with a number, the tenant becomes a contact, and they receive a confirmation with a link to the status. Alternatively, tenants report via a form. Without Premium you forward the email, and it likewise becomes a card including its attachments. More about Tickets / requests

Preferably not at the board of a property, because a guest there would see all the reports and the names of other tenants. Instead, share only the card for their job with the tradesperson. They sign in with a free account, see the description, the photos and the comments visible to everyone, and reply there. They do not see other cards or internal notes. For the owners’ advisory committee or for building works, a board of its own is a good fit. Guests cost nothing.

No. You send the order as usual. On the card you record who has been instructed and when the appointment is.

No, dates have a day but no time of day. You write the time of a tradesperson’s appointment on the card.

No. Bookkeeping, annual statements, the owners’ meeting and the register of resolutions stay there. Kanbalino is the place for reported issues, jobs and inspections around the property.

Kanbalino charges per person in your team, not per unit or property. In the free plan there are three boards, with Premium as many as you like.
