How it works today

Who is currently working on a client matter and what is still missing is kept in people’s heads, in inboxes and on sticky notes. Queries to clients go back and forth by email, and documents arrive unsorted and in several attempts.

During holidays or illness, someone else first has to piece the status together.

How it works with Kanbalino

The process

A client matter in four steps

Create a board

One board per client, set to “private”. The columns follow your work steps.

Invite clients

As a guest, free of charge. The client creates an account of their own and sees only their board.

Request documents

A card with a checklist: the client attaches and ticks off, and you see the status at a glance.

Work and document

Queries on the card, times per task, and at the end the statement of services as PDF.

Queries

The query on the task, the assessment beside it

The invoice for the new machine is missing. Your team asks on the card, and the client attaches the invoice there and replies. What this means for tax purposes is on the same card as an internal note, which the client does not see. Whoever takes over the client matter during a holiday finds everything in one place.

Documents

Request documents with a checklist

What is missing for the annual accounts is on a card as a checklist. The client attaches the documents and ticks them off, and the label “Waiting for client” makes this visible on the board. The annual accounts themselves are entered as a dependent task and show what they are waiting for.

Time-based fees

The record for time-based billing

Whoever works on a client matter tracks the time on the task, with the timer or added later. This produces the statement of services: a letter with your letterhead, the activities per task and the total, rounded up to 5 or 15 minutes if you wish. You continue to prepare the invoice itself in your practice management software.

Features

The features behind it

Queries are on the task of the client matter instead of in the mailbox. The internal assessment stays within the team as a note.

Honest questions

What firms want to know before switching

No. Kanbalino is not a deadline control system that meets the requirements set by case law: it does not calculate deadlines and has no preliminary deadlines (reminder dates set ahead of the actual deadline). You continue to keep deadlines in your practice management software. Kanbalino shows who is working on what and what is still missing.

The data processing agreement (DPA) under Article 28 GDPR is available on request. A confidentiality agreement under section 62a StBerG (the German Tax Advisory Act) or section 43e BRAO (the German Federal Lawyers’ Act) is currently not available as a ready-made template. No, as long as every client has a board of their own. A guest always sees the whole board you invite them to, and nothing else. Set the boards to “private”, then members of your team cannot join by themselves either.

Yes, a free one, with the address from your invitation. If two-factor sign-in is mandatory in your workspace, it applies to clients as well. If they do not set it up, they see an empty board; Kanbalino does not yet show a separate notice about this.

No. Bookkeeping, annual accounts, tax returns and billing stay in your specialist software. Kanbalino organises the work alongside it.

In Germany, on our own server in a data centre in Nuremberg. Important for client data: sign-in with a second factor can be made mandatory for the whole firm.
