The onboarding plan sits in an email to everyone who is supposed to prepare something, or in a spreadsheet that only HR knows about. On the first day, the computer, the access to the mailbox or the health and safety briefing is then missing.
Every department does its part, but nobody sees whether everything is ready.
From the “Onboarding” template: phases, labels and first tasks are there, from the contract to the probation review.
Every task gets a person and a date. Whoever is assigned gets a notification.
As a guest, free of charge. They see only their board and add their documents to the card.
Every department ticks off its part. The board shows what is still missing before the first day.
Invite the new person to their board as a free guest before they start. They add their documents to the card, ask questions and see what awaits them on the first day. They do not see the other boards of your business.
The health and safety briefing must take place before work begins, be repeated at least once a year and be documented (DGUV Vorschrift 1, section 4, an accident prevention regulation of the German statutory accident insurance). In Kanbalino it is a card with a checklist that is created anew for the following year once it has been done. You attach the signed record as a file.
“My tasks” shows everything that is assigned to you, across all boards and sorted by due date: the onboarding of the new colleague and the departure of another, where devices, keys and access rights are returned. That way, as little is left undone when someone leaves as when someone joins.
When an onboarding task falls due, a rule notifies the person responsible, in HR just as in IT.

No, not on its own. The card reminds you of the briefing every year, and you attach the signed record as a file. There is no electronic signature in Kanbalino.
No. Personnel files, contracts, payroll and the recording of working hours stay there. Kanbalino is the place for the tasks around joining and leaving.
